DARC POLICIES

Participants must recognize that all recreational activities and programs involve some level of risk, by registering for a program; participant assumes any and all risk associated with the program. Every effort is made to ensure the safety and well-being of participants, to provide them with high-quality recreational activities and programs.

In the event of a serious accident or injury, our policy is to: Contact 911, when necessary, transport to the hospital, and contact the parent/guardian or emergency contact as quickly as possible.

Code of Conduct: Participants and/or spectators are expected to exhibit appropriate behavior at all times while participating and/or attending any activity, program, league, or event sponsored by the Downingtown Area Recreation Consortium (DARC). Please read DARC’s Player Conduct Code.

INFORMATION FOR DARC DAY CAMPS, TEEN CAMPS, AND HALF-DAY PLAYGROUND CAMPS:

All campers are required to bring their own sunscreen each day. They must also know how to apply the sunscreen themselves. The camp counselors will remind them to apply/reapply the sunscreen throughout the day (especially on days when the trip is to an outdoor destination)…but they cannot apply it for them. We recommend that sunscreen is applied before coming to camp each day.

Please read and complete the DARC PICK UP CONSENT FORM & MEDICATION DISPENSING FORM. We ask parents / guardians to fill out and return to the camp counselors on the first day that your child attends camp. Only persons designated on this pick up consent form will be permitted to pick up children from the Camp Programs. If another person is to pick up your child(ren) on any particular occasion, permission must be given in writing prior to the time of pick up. All children must be signed in and out each day.

You are responsible for drop-off and pick-up of your child(ren) at the appropriate times.  We do allow a brief grace period after which the late charges will take effect.  Anyone found abusing the pick-up time rule will be charged a late fee of $5.00 per every five minutes late beginning at 10 minutes past pick-up time (i.e. 4:10PM = $5.00 late fee, 4:15PM = $10.00 late fee, etc.) REFUSAL TO PAY THIS FEE IN A TIMELY MANNER WILL BE CAUSE FOR YOUR CHILD TO BE DISMISSED FROM THE PROGRAM. The late fee(s) may be paid to the counselor(s) or to the DARC Office.  It will be used to compensate the counselors for the time they spend after the program has ended.

PLEASE READ DARC’S CELL PHONE USAGE POLICY FOR SUMMER CAMPS:

Cell Phones are ONLY to be used for necessary communication with parents. Cell phones will be collected at the beginning of the camp day and will be returned before the camper leaves each day.  Cell phones will be stored in a safe storage container/bag and will be available throughout each day. If the camper needs to make a phone call they may ask the counselor to use their phones at any time, but must put it back when done. Any campers that are seen using cell phones without prior approval from a counselor will have their cell phones confiscated for the remainder of the day and receive a write up….cell phones will be returned at the end of the day.

REGISTRATION INFORMATION

Register Early! You can begin to register for activities as soon as you receive your brochure; or as soon as the brochure is posted to the website (unless otherwise noted). Registrations are open until an activity reaches maximum capacity. All registrations are taken on a first come-first served basis. Please register at least 72 hours prior to the start of an activity…you could be the difference whether or not an activity will run. Decisions on any necessary activity cancellations (due to lack of enrollment) are generally made at least 48 hours prior to the activity start date. Too often quality activities and trips are cancelled because too many people wait until the last minute to register. Almost every activity has a minimum number of enrollees needed to cover the expenses or to make it enjoyable. If you see an activity you like, don’t hesitate to sign up to recreate! You must pre-register for all activities.

To register for an activity you must complete a registration form. Registration forms can be found in the back of the DARC Brochure, can be downloaded from the website, can be completed with the online registration feature, or can be picked up at the DARC Office. DARC does not accept phone in registrations.

Late Registration: Registrations within 72 hours of the start of a program will incur a $10 late registration fee.

Registration Confirmations: If you would like a registration confirmation please include a legible, and up-to-date email address, on your registration form. Indicate that you would like to have a receipt emailed to you. You can also include a self-addressed stamped envelope with your registration materials.

Waiting Lists: Waiting lists do not guarantee you a spot. You will be contacted only if a space becomes available. If notified, you will have 24 hours to accept the space (with payment) or the opening will be offered to the next person on the waiting list.

Senior Citizen’s Discount: Seniors, ages 65 and older, living within the Downingtown Area School District (DASD) will be given a 15% discount on any class unless otherwise noted. Bus trips, leagues, online educational courses, and computer classes held at Springhouse Computer School are excluded.

HOW TO REGISTER

NEW! Online Registration: DARC now offers online registration utilizing PayPal secure checkout for payments. When scrolling through the ‘Programs & Upcoming Events’ you will notice a ‘Register Now’ icon to the right of the program listing. Click on ‘Register Now’ to go through the online registration process. Please note that online registrations will incur a small “Convenience Fee” that covers PayPal secure checkout and DARC administrative fees.

Mail: Complete the registration form and mail with full payment to DARC, 114 Bell Tavern Road, Downingtown, PA 19335.

Walk-In: Our office is open Monday through Friday, 8:30AM – 4:30PM. We are located at 114 Bell Tavern Road, Downingtown, PA 19335. There is also a mail slot located in the front door of the DARC Office Building. Registration forms and payments can be submitted through the mail slot if you stop by after office hours.

Fax: If you are paying with credit card (Visa, MasterCard, or Discover) you can fax registration forms to the DARC Office at 610-269-9264.

PAYMENT METHODS

We accept Cash, Check, Money Order, Credit Card (Visa, MasterCard, or Discover) for all program registrations. Please make all checks payable to “DARC.” Please note that online registrations will incur a small “Convenience Fee” that covers PayPal secure checkout and DARC administrative fees.

NOTE: That all discount amusement park, movie, and ski lift ticket sales are CASH ONLY!

REFUND POLICY

All refunds are issued by organization check in accordance with DARC’s regular payment schedule (generally bi-weekly). No cash refunds. Refund requests will be handled according to the following guidelines:

  • Refunds will be given up to one week prior to the first class minus a $10 administrative fee. No refunds will be issued after this time unless accompanied by written documentation from a physician. In the event of illness, please notify the DARC office immediately if a refund is desired for medical reasons. Approved refunds will be prorated to reflect attendance and issued as an account credit only.
  • Full refunds are issued for programs that are cancelled by DARC.
  • Refunds cannot be given after the start of a program.
  • No refunds will be issued due to cancellations resulting from inclement weather.
  • A $10 administration fee will be deducted from all credits or refunds issued. No exceptions!
  • Please allow 2-3 weeks for a refund or credit to be processed.

Bus Trip Refunds: Refunds, minus the $10 administrative fee, will be issued only if the seat can be re-sold or filled by someone on the waiting list. Full refunds will be given if a trip is cancelled.

Reissued/Duplicate Checks: Any duplicate checks, or checks that need to be reissued, will be charged a $10 administrative fee.

RESIDENTS

If you reside in any of the following municipalities, you are within the Downingtown Area School District (DASD) boundaries, and are considered a ‘resident:’ Downingtown Borough, East Brandywine Township, East Caln Township, Upper Uwchlan Township, Wallace Township, West Bradford Township, and West Pikeland Township. When registering for a program ‘residents’ pay the ‘DARC’ fee noted in the program details.

These townships help support DARC by making annual contributions to help cover the operating costs involved with the recreation department. These contributions help us to be able to continue to provide recreational programming to all of the municipalities in the Downingtown area.

Failure to provide accurate address information on your registration may result in immediate dismissal from an activity or program without refund. Any attempt to deliberately deceive the recreation department by providing incomplete, or inaccurate information, on your registration form may result in immediate dismissal from an activity or program without refund.

NON-RESIDENTS

If you live outside of the Downingtown Area School District (DASD) you are considered a “non-resident” and must pay the “non-resident” fee per person. When registering for a program ‘non-residents’ pay the ‘Non-Res.’ fee noted in the program details.

Failure to provide accurate address information on your registration may result in immediate dismissal from an activity or program without refund. Any attempt to deliberately deceive the recreation department by providing incomplete, or inaccurate information, on your registration form may result in immediate dismissal from an activity or program without refund.

The “non-resident” fee does not apply to trips and online instructional courses.

RETURNED CHECKS

There will be a $20 fee payable to DARC in cash if any checks are returned for ‘insufficient funds.’

ROOM ASSIGNMENTS

Room assignments are generally noted in the program information listed in the brochure or on the website. We will also post door signs at the school building the first night of a class to help direct enrollees where to go. The door signs are generally bright orange, bright green, or bright pink so they are easy to notice.

BROCHURE DISTRIBUTION

The DARC Brochure is currently mailed on a quarterly basis (December, March, May, August) to all residents within the Downingtown Area School District (DASD). You can also pick up copies of the most recent brochure at township buildings within the DASD, the Downingtown Borough Hall Building, the DARC Office Building located at 114 Bell Tavern Road in Downingtown, and most of the elementary school buildings located within the DASD. A PDF of the most recent brochure can also be downloaded from the DARC website.

EMAIL POLICY

By providing the Downingtown Area Recreation Consortium (DARC) with your email address you may occasionally receive brief announcements regarding upcoming activities and programs. If you no longer want to receive these announcements, you will be able to unsubscribe to these emails by contacting DARC and requesting to be removed. SHARING OF PERSONAL INFORMATION

We do not sell or share your personal information/email addresses to third parties for marketing purposes. We will ask for your consent before we use or share your information for any purpose other than the reason you provided it.

Photo & Video Release: On occasion our staff may take photographs and/or video tape participants at programs/events. This is for DARC’s use only and may be duplicated in DARC publications, or video productions.
